Creating the perfect email workflow might seem challenging, but we are here to provide you with some tips and show useful features. As with your regular emails, a lot involves experimenting and continuously adjusting your messages to achieve the best possible results.

Create your workflow

  1. Subject line: Start by crafting your subject line. It's your first chance to capture the recipient's interest. Avoid subject lines that can be perceived as newsletter-like and strive to create an inviting and relevant first impression.

  2. Writing the email: Focus on the unique value your offer brings to your target audience and explain why you are contacting them specifically. If you're struggling to articulate your thoughts, jot down some points about what you want to express and then use the AI Rewrite button to get help with a first draft. Remember to personalize and adjust the draft afterwards. You can read more about AI Rewrite here.

  3. Using merge tags: To make your emails more personal, add merge tags that replace information we have found about a lead, for example, "Hello [First Name]". You can read more about merge tags here.

  4. Creating follow-ups: After your initial email, create short reminder messages that are sent out if the recipient has not responded. You can set the delay based on how often you want the reminders to be sent. If the recipient responds to any of your previous emails, the follow-ups are automatically canceled.

  5. Automation when contacting larger companies: If you are not able to reach the decision-maker you initially tried to contact, LeadPilot can automatically try to reach another decision-maker at the same company after a certain period. Use your previous emails but consider making minor changes to tailor them to the new recipient. You can read more about new contact person here.

  6. Testing your emails: Before you activate your workflow, send a test email to yourself to ensure it looks good in your inbox. You can read more about how to send test emails here.

Experiment and adjustments
Our Business and Premium users can continuously improve their results by experimenting with different variations of workflows. This could involve changing everything in your workflow to adjusting a subject line or a sentence in your email. Once you've created a variant, LeadPilot will begin sending out both versions and, after a period, prioritize the one that performs best.

Note that variants are optimized step by step. If you create a variant for a follow-up, it does not guarantee that it follows after the initial introductory variant.
